Applications are invited for the position of Crew Resources Analyst within David MacBrayne HR (UK) Limited. 

Role Overview

The Crew Resource Analysts will provide support and cover to the Crew Resources Team and also to the Marine and Technical department. Primarily reporting on sickness, absence and appraisals but also reporting on call-back and expenses.

Principal Accountabilities

•    Record any reported sickness absence on the appropriate spreadsheet within 24hours.
•    Record absence information into Open People including fit / sick notes.
•    Report on absence information, identifying trends and areas for further analysis.
•    Maintain real time records of sickness and absences throughout the network reporting, daily, weekly and monthly on this to all relevant parties.
•    Coordinating sickness updates from the Crew Resource Officers and putting them on the spreadsheets.
•    Maintain and share regular documented contact with each individual off sick.
•    Where contact is not maintained, coordinating with HR on pay cessation letters.
•    Attending the weekly sickness absence review calls.
•    Coordinating RTW timeline completion and outcome.
•    Coordinating ARM timeline completion and outcome.
•    Monitor and chase outstanding action to completion.
•    Highlight ARM no-action hotspots.
•    Coordinating pool crew sick absence ownership.
•    Support line managers on the requirements for OHS (and other) referrals.
•    Liaising with HR on medical report related issues.
•    Monitoring 30 day absence ENG1 impacts.
•    Ensuring seafarers have required documentation to RTW.
•    Assisting Crew Resource Officers and Marine / Technical on phased RTW plans.
•    Liaising with payroll on sick pay thresholds.
•    Attend monthly meetings with Marine Managers and HR to run through the long term sickness cases and log any updates or actions.
•    Report on call-back activities and identify trends per ship, rank & reason. 
•    Process Map the current processes undertaken in the department.
•    Produce monthly reports reflecting the activities of the department. 
•    Manage the information maintained in the Crewing Communities.
•    Assist with the deployment of crew to the vessels. 
•    Arrange travel and accommodation as required.
•    Raise POs as required for costs incurred by Crew Resources. 
•    Meet with the Crew Resource Officers on a monthly basis to summarise appraisal information and report to the Planning & Resource Manager.
•    Scan and upload completed appraisals as part of the monitoring process.
•    Maintain real time records of appraisals throughout the network. 
•    Provide monthly information to highlight high or low performers and to ascertain competence levels in the network. 
•    Attend monthly meetings with the Marine Managers to run through any overdue appraisal reports and go through the competence levels per the above. 
•    Scan and upload completed appraisals as part of the monitoring process.

Qualifications, Skills and Experience

•    Educated to HND level in business administration, applicants with proven experience in a similar role will be considered
•    Strong IT skills, including Excel, Word and Business Optix or similar
•    Business Analyst experience
•    Report writing and data analysis skills
•    Good communication skills and ability to build positive internal and external relationships
•    Ability to work proactively 
•    Excellent attention to detail
•    Ability to operate on own initiative but also work as part of a team
